Follow Up on Unpaid Quotes Without Losing Clients
You sent a quote. Radio silence. 3 days later, your client is buying from someone else. Or worse, they're ghosting but checking your WhatsApp status. This guide gives you the exact 3-message sequence that gets people to buy—without sounding desperate or pushy.
Why Follow-Up Matters
Research shows 70% of lost sales happen because of bad follow-up, not bad pricing. You're probably losing money because you don't follow up properly, not because your prices are wrong.
The 3-Message Sequence
Message 1: Send the Quote (Day 0)
When you first send a price, make it professional and clear:
Hi [Name], I got your enquiry about [product]. Here's my quote for you:
Item: [Description]
Price: ₦[Amount]
Delivery: [Timeframe]
Let me know if this works for you 👍
Don't overthink it. Be direct. No sales pitch needed.
Message 2: Gentle Reminder (Day 2)
If no response after 48 hours, send this:
Hi [Name], just following up on the quote I sent on Tuesday. Still interested? Happy to adjust anything if needed 😊
Key point: This is casual, not pushy. You're giving them an easy exit ("if you're not interested, that's fine") or a reason to reconsider.
Message 3: Last Chance (Day 4)
If still no response:
Hi [Name], I haven't heard from you on the quote. No problem if you've decided to go elsewhere, but I wanted to make sure you had everything you needed. If you have any questions or want to negotiate, let me know. I'm here to help 💪
This message:
- Acknowledges they might have bought elsewhere (takes pressure off)
- Opens door for negotiation (shows you're flexible)
- Ends positively (doesn't burn the bridge)
After this, stop. If they don't respond, they're not buying. Move on.
Real Examples
Fashion Vendor
Day 0: Hi Aunty, you asked about the red ankara dress. I have size M and L available for ₦12,500 each. Can deliver tomorrow if you order today. Let me know 👗
Day 2: Hi Aunty, still interested in the red dress? I have limited stock, so let me know soon 😊
Day 4: Hi Aunty, I noticed you haven't replied about the dress. No pressure! If you want a different color or size, I can help. Otherwise, it's all good 💚
Phone Dealer
Day 0: Hi Emeka, I have the iPhone 15 Pro Max you asked about. ₦1,080,000 in stock now. One-year warranty included. Let me know when you want to pick it up 📱
Day 2: Hi Emeka, just confirming—still want the iPhone? I have another customer asking about it, but I'm holding it for you first 🙌
Day 4: Hi Emeka, just a quick follow-up. If you can't do the iPhone right now, no worries. Just let me know so I can sell to the other customer. Appreciate it 👍
What NOT to Do
- Don't send 10 messages. You look desperate. 3 messages max.
- Don't drop price without being asked. Looks like you were overcharging.
- Don't say "Are you dead?" or "Why won't you reply?" Aggressive = no sale.
- Don't spam on multiple platforms. Stick to WhatsApp.
- Don't follow up with insults. Even sarcastically.
When to Break the Rule
High-value sales (₦500K+): You can follow up 4-5 times over 2 weeks. Big purchases need more nurturing.
Regular customer: If someone buys from you monthly, you can be more casual. They know you.
After 1 week of silence: Stop. They bought elsewhere or decided not to.
The Metric That Matters
Track your follow-up conversion rate: (Sales from follow-ups) ÷ (Total quotes sent). Most vendors get 15-25% conversion on first contact. With proper follow-up, this jumps to 35-50%.
If you send 100 quotes and follow up properly, you get 35-50 sales. If you don't follow up, you get 15-25. That's a ₦2M+ difference per month for most vendors.
Bottom Line
Most lost sales aren't about price—they're about forgotten quotes. Use this 3-message sequence. It's professional, not pushy, and it works.
